You can add to your creative family beach vacation by incorporating some sort of a beach family reunion. What about inviting our extended family? How about some long lost relatives? What about your college friends you haven't seen in years?
Who's in Charge?
The first thing to remember when incorporating a reunion into your vacation is that someone needs to be in charge. This person will oversee the whole event, making sure that everything is running smoothly. Feel free to delegate some of the actual work or you may become overwhelmed.
The Guest List
The next step is to determine who you want to invite. The whole family? The whole team? How about a group of close friends? How big of a creative family beach vacation reunion do you want?
How Many?
The number of people you plan to invite is key, as this will determine many things, such as the location. There is no point in having a reunion of 100 people at a small beach resort with only three hotel rooms.
The Date?
Choosing the date is the next key step. Try to choose a date that you think will ensure most of the people on your list will be able to attend. Contacting some of the key people that you plan to invite will help you to narrow down the best choice of dates. Be sure to provide people with plenty of advance notice so that they can make their plans.
Expand the List
Ask the key people you are inviting if they are able to contact some of the other people on your list. You may not have their actual phone numbers or contact info, but some of the people you are contacting might. As a last resort, check the internet.
The Perfect Location
Now we come to the topic of the perfect location for your beach family reunion. The perfect location depends on how many people you think will attend. Make sure that your choice of location can accommodate all the people on your list in regards to hotel rooms, restaurants, and activities. Try to choose a location with plenty of budgetary options. Some people may want to stay in a first-class hotel, while others may need to acquire budget accommodation due to financial considerations.
The Ages
The ages of the people who will be attending your beach family reunion will also be a determining factor in your choice of location. If you have a lot of young children you may want to find a location that has a lot of miniature golf courses and amusement parks. If the people are older, having museums and a nice selection of restaurants will be good idea.
Raising Money
How are we going to pay for all this beach family reunion "stuff"? One of the easiest ways is to have everyone take care of their own expenses, such as hotel, restaurant,and entertainment. Having said this, there will still be a need for some money to pay for the invitations, brochures, maps, etc. One of the easiest ways to pay for these is to charge an admission fee. Once you mention what the money will be used for, people will usually be more than happy to help out.
Invitations
In your invitation, be clear about the specifics. Why are you having it? When will it be held? Who will be attending? What is the theme of the reunion, if any? How much will it cost. People will be able to plan better if they know as much information as possible. In closing, tell the invitees how much it will cost, when you will need the money by, and if they will be attending.
Gifts
Depending on how much money you have collected, you may decide to provide your invitees with some gifts to help celebrate the reunion. These gifts can include a name tag, guide book, mug, t-shirt, etc.
Certificates
You may decide to print out some certificates, and provide them at the close of your reunion to foster some additional memories. These certificates can include:
1) Most humorous.
2) Best dresser.
3) Best laugh.
4) Happiest person.
Feedback
Once everything is over, be sure to get everyone's feedback. What did they like, and dislike? How could your beach family reunion be improved upon next time? Write up all these findings in a report. Mail this report to your guests, and those who were not able to attend to build up enthusiasm for the next event you will be organizing.
